WorkFlow Max

Workflow Max (WFM) is a type of project management software that we use for costing, quoting, invoicing and reporting on all jobs.

​Every job will have a number attached beginning with ‘J00’. Here you can raise a Purchase Order (PO). You will need to do when you want to place an order with a supplier. You will then need to send it to the supplier, who will add the purchase order number to their invoice.​

You will also need to use WFM to record your time. If you do not have full access to Workflow Max, the job you are working on should be visible and you can record your time by clicking into it. If your job is not showing up, you will need to ask your line manager to add you to it.

​We run monthly WorkFlow Max training sessions – you will be invited one of to these if relevant to your role.

SharePoint

SharePoint is used to store all files and documents. The access you have will depend on your job role.​

Each job has a folder where all relevant documents must be uploaded to. This is so everyone on your team can have full visibility. ​

Teams

Teams is used as our informal communication channel.​

​Every job has a channel allocated – you will be added to this along with other members of your project team. Here you can share files and documents by adding links to the relevant SharePoint folder as well as the folder path.

​There is a private chat function you can use, but where possible, please use the main channel to communicate so your team can be across everything. When adding a post to the channel, make sure you either tag the group or specific team members using ’@’ followed by their name/group name.
